THE ORGANIZATION 

Mediation & Restorative Services (MARS) is a community-based, non-profit 501 (c)(3)  organization. Since 1987, MARS has been helping families, neighborhoods, schools, landlords, tenants, businesses, consumers, manage and resolve conflict through education and conflict resolution services. Professionally trained and supervised volunteer mediators assist individuals and communities to successfully resolve problems and disputes on their own using alternative dispute resolution methods. MARS is proud of its high quality, volunteer mediator panels, its effective partnerships with area government and nonprofit organizations, and the high level of community and donor support received by the organization.

POSITION OVERVIEW

The Nonprofit Finance Manager for Mediation and Restorative Services (MARS) will play a key role in overseeing the financial management, accounting, and financial reporting of MARS. This position will work closely with the Executive Director, program managers, and the board of directors to ensure that MARS remains financially sound and compliant with both organizational and funding partner requirements. The Finance Manager will be responsible for managing the budgeting process, monitoring cash flow, overseeing grant-related financials, and maintaining accurate and transparent financial records to support MARS’ mission of fostering conflict resolution, restorative justice, and community healing

BUSINESS OPERATIONS MANAGER JOB RESPONSIBILITIES

  • Financial Planning & Reporting:

    • Develop and manage the
      annual operating and programmatic budgets in collaboration with the
      Executive Director and program staff.

    • Prepare and present regular financial reports to the Executive Director, Board of Directors, and other key stakeholders, ensuring clarity and understanding of financial status.

    • Track and report on funding sources, ensuring that budget expenditures align with grant terms and organizational goals.

  • Accounting & Recordkeeping:

    • Oversee the day-to-day financial operations, including managing accounts payable/receivable, payroll, and bank reconciliations.

    • Ensure compliance with nonprofit accounting standards, including the preparation of monthly, quarterly, and annual financial statements.

    • Monitor all financial transactions for accuracy and transparency, adhering to GAAP (Generally Accepted Accounting Principles) and FASB (Financial Accounting Standards Board) standards.

  • Grant Financial Management:

    • Oversee the financial management of grants, ensuring compliance with grant agreements, proper tracking of funds, and timely reporting to funders.

    • Work with program managers to prepare and submit detailed financial reports to grantors and funding agencies, including documentation of grant expenses and outcomes.

    • Support the Executive Director in preparing grant applications by providing financial information, budget projections, and financial justification for funding requests.

  • Cash Flow & Financial Planning:

    • Ensure proper cash flow management to meet operational and programmatic needs, including maintaining accurate cash flow forecasts.

    • Collaborate with the Executive Director and program managers to monitor and manage restricted and unrestricted funds, ensuring alignment with strategic goals.

  • Internal Controls & Compliance:

    • Implement and maintain effective internal controls to safeguard MARS’ financial assets and prevent fraud or misuse of funds.

    • Ensure compliance with all federal, state, and local regulations governing nonprofit organizations, including filing IRS Form 990, and other necessary reports.

    • Support the annual audit process by preparing necessary documentation and working closely with external auditors.

  • Budgeting & Forecasting:

    • Lead the budgeting process by working closely with leadership and staff to project future programmatic needs, ensuring adequate funding for ongoing and new initiatives.

    • Monitor and forecast expenditures and revenue streams, ensuring that financial goals are met, and financial risk is minimized.

  • Collaboration & Staff Support:

    • Collaborate with program directors and staff to align financial planning with program goals, especially in the context of mediation and restorative justice initiatives.

    • Provide training and support to program staff on financial matters, including budget tracking, reporting, and financial compliance.

QUALIFICATIONS

Education:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required. A Master’s degree or CPA designation is a plus.

Experience:

  • At least 3-5 years of experience in nonprofit financial management, preferably with experience in social services, restorative justice, or community-based programs.

  • Demonstrated experience with budgeting, financial forecasting, and reporting in a nonprofit setting.

  • Strong knowledge of nonprofit accounting standards (GAAP, FASB) and IRS compliance, particularly for 501(c)(3) organizations.

  • Experience in managing grants, including restricted and unrestricted funds, and reporting to funding agencies.

Skills & Competencies:

  • Strong analytical, problem-solving, and financial management skills.
  • Proficiency in accounting software (e.g., QuickBooks, Financial Edge, etc.) and advanced Excel skills.
  • Exceptional organizational and time-management skills with an ability to meet deadlines and manage multiple priorities.
  • Ability to communicate complex financial information in a clear and accessible manner to non-financial stakeholders.
  • Strong attention to detail and accuracy in all financial transactions and reports.
  • Commitment to MARS’ mission of fostering peace, justice, and community healing through mediation and restorative practices.

Working Conditions:

  • This position is based at MARS’ office in Blaine, MN. Hybrid remote work available.
  • Occasional evening or weekend hours may be required for meeting organizations, and special events as necessary.
